Administrative Officer
The Administrative Officer will be responsible for the administration of student enrolments and assisting with various administrative tasks resulting from AOT’s expanding product range and growth in student numbers.
This will be successfully accomplished by providing a range of administrative and support functions.
This is a weekly position based on 38 ordinary hours per week. Location is in Cairns.
This position will be in a very IT intensive environment using a wide range of software applications including a student management system (Teams), learning management system (Janison), customer record management system (Microsoft CRM) and Microsoft Outlook.
AOT’s commitment to continual improvement will see an ongoing review of systems and introduction of new systems and workflows.

- Excellent telephone manner with the ability to relate to clients from a diverse range of cultures and backgrounds and provide courteous customer service;
- Excellent written and verbal communication skills;
- Advanced proven computer skills and experience with a range of software packages especially MS Office and Outlook;
- Ability to absorb new information and systems and to be highly adaptable in a fast growing company;
- A team player, able to maintain a positive and co-operative environment in the AOT offices;
- Comply with all AQTF standards and requirements;
- Flexible and open-minded to new challenges.
Non Critical Criteria
- Experience in and/or knowledge of online sales or an educational environment.
- Maintain currency and proficiency with software and computers used by AOT.
List of Duties
- Provide effective and efficient administrative support to students, the Student Support Centre, training and sales departments.
- Administration of the enrolment process for students from commencement, through to the completion of student files and issuing of certificates and statement of attainments.
- Responsible for addressing administrative emails in Microsoft Outlook on a daily basis.
- Addressing telephone, email and mail enquiries as required.
- Assisting sales with overflow enquiries, course extensions and processing Inlearning orders.
- Maintenance of student records and databases in accordance with AQTF standards and AOT’s policies and procedures.
- Any other duties as requested by department managers, the CEO/Director or his nominee.
The position reports to the Training Manager, with supervision by the Training Manager or his nominee.
